Building a Custom AI Agent for Wedding Planners: A Case Study in Specialized Automation

The wedding planning industry is a whirlwind of intricate coordination, emotional stakes, and endless details. For planners, a significant chunk of time is lost to the "inbox black hole"—answering the same questions about availability, pricing, and vendor details over and over again.

In our latest project, we tackled this challenge head-on by designing and building a Custom AI Agent specifically for wedding planners. This wasn't just about slapping a generic chatbot on a website; it was about integrating intelligent automation directly into the tools planners use every day.

The Problem: High-Touch vs. Scalability

Wedding planners are effectively project managers for highly emotional, one-off events. Our research and surveys found that:

  • Repetitive Inquiries: Planners spend hours daily responding to FAQs like "Are you free on this date?" or "What are your package rates?"
  • Context Switching: Moving between email, vendor contracts, and calendars kills productivity.
  • Need for Personalization: Clients expect tailored, high-touch communication. Automated responses often feel "robotic" and cold.

The Solution: A Gmail-Embedded AI Assistant

We developed a Google Workspace Add-on that lives right inside Gmail. It acts as a smart sidekick that reads incoming emails, understands the context, and drafts personalized replies based on the planner's real historical data and style.

Key Features:

  • Context-Aware Drafting: The agent suggests replies that sound like the planner, using data from previous successful interactions.
  • Seamless Integration: No new dashboard to learn. It works where the planner works.
  • Hybrid AI Architecture: We utilized a custom-tuned Large Language Model (LLM). For development and privacy, we tested local inference (using Llama 3 via Ollama), and for production scalability, we leveraged Google's Vertex AI.

Under the Hood: Technical Architecture

The system is built on a robust backend ensuring data privacy and speed:

  • Frontend: Google Apps Script powering the Gmail Add-on UI.
  • Backend: A high-performance Go application acting as the orchestrator.
  • AI Engine: We used both local models (via Cloudflare Tunnels for secure exposure) and cloud-based Vertex AI endpoints to allow for flexible deployment.

Results: 85% of Planners Said "Yes"

The feedback from our pilot group of wedding planners was overwhelmingly positive:

  • 85% rated the tool as highly useful.
  • 78% indicated they would pay for such a solution to reclaim their time.

By automating the initial logistical hurdles, planners could respond to leads faster—often the deciding factor in winning a contract—without sacrificing the personal touch that defines their brand.

This project demonstrates that the next wave of AI isn't just about general-purpose bots; it's about specialized, vertical-specific agents that deeply understand a specific job.
